You're going on vacation. Or you're sick for a few days. Or simply traveling with no access to email. In the meantime, a client sends a question, waits for a reply, and has no idea whether you've even seen it.
An out-of-office reply (vacation responder) solves exactly this problem - anyone who emails you during that period instantly gets a message saying you're away, when you're back, and (if you want) who else to contact in the meantime.
How to set up an out-of-office reply through webmail (cPanel)
This is the most universal method, since it works regardless of which app you normally use for email - it's set up directly on the server.
- Sign into webmail (webmail.yourdomain.com) or directly into cPanel.
- If you're in cPanel, look for Email Accounts then Autoresponders - if you're in webmail, look for Settings > Filters or Vacation Message.
- Click Add Auto Responder (or Create).
- Enter the Subject of the message, for example "Away until [date]".
- Enter your message in the Body field - a short explanation that you're away, until when, and an alternative contact if there is one.
- Set a Start and Stop date - this is the most important part, since the reply turns itself off automatically on that date, no need to switch it off manually.
- Save by clicking Create or Save.

How to set up an out-of-office reply in Outlook
- Open Outlook and go to File > Automatic Replies.

If your business email runs on Google Workspace or Microsoft 365, the out-of-office reply gets set up through their webmail (Gmail on a computer, or Outlook Web at outlook.office.com), and then automatically applies to the iPhone too, since it's the same account.
What to write in your out-of-office message
A good message is short and covers three things: that you're away, until when, and what someone who urgently needs help should do.
- "Thanks for your email. I'm currently away and will be back on [date]. Your message will be read once I'm back."
