How to Set Up
an Out-of-Office Email Reply

The client writes while you're at the beach - let them at least know you saw it

You're going on vacation. Or you're sick for a few days. Or simply traveling with no access to email. In the meantime, a client sends a question, waits for a reply, and has no idea whether you've even seen it.

An out-of-office reply (vacation responder) solves exactly this problem - anyone who emails you during that period instantly gets a message saying you're away, when you're back, and (if you want) who else to contact in the meantime.

How to set up an out-of-office reply through webmail (cPanel)

This is the most universal method, since it works regardless of which app you normally use for email - it's set up directly on the server.

  1. Sign into webmail (webmail.yourdomain.com) or directly into cPanel.
  2. If you're in cPanel, look for Email Accounts then Autoresponders - if you're in webmail, look for Settings > Filters or Vacation Message.
  3. Click Add Auto Responder (or Create).
  4. Enter the Subject of the message, for example "Away until [date]".
  5. Enter your message in the Body field - a short explanation that you're away, until when, and an alternative contact if there is one.
  6. Set a Start and Stop date - this is the most important part, since the reply turns itself off automatically on that date, no need to switch it off manually.
  7. Save by clicking Create or Save.

If your hosting offers an end date option, always use it - the most common mistake is accidentally leaving the reply on even after you're back, so clients keep getting told you're "away" for weeks.

How to set up an out-of-office reply in Outlook

  1. Open Outlook and go to File > Automatic Replies.
  2. Select Send automatic replies.
  3. If you want, turn on Only send during this time range and enter start and end dates - just like the cPanel option, this prevents the reply from staying on forever.
  4. Enter your message in the Inside my organization field, and, if you want a different message for external senders, in the Outside my organization field.
  5. Click OK.

How to set up an out-of-office reply on Android (Gmail app)

  1. Open the Gmail app and tap the three lines in the top left corner.
  2. Scroll down to Settings, then select your email account.
  3. Look for the Vacation responder option.
  4. Turn it on, enter your message, and, if you want, a start and end date.
  5. Save your changes.

Note: this option is only available if the account was added as a Google/Gmail account type. For accounts added manually via IMAP (described in the first support guide), the out-of-office reply is usually set up exclusively through webmail or cPanel, not through the app on the phone itself.

How to set up an out-of-office reply on iPhone

The iPhone's built-in Mail app has no option of its own for an out-of-office reply - this always gets set up through webmail or cPanel (described earlier), not directly on the phone.

If your business email runs on Google Workspace or Microsoft 365, the out-of-office reply gets set up through their webmail (Gmail on a computer, or Outlook Web at outlook.office.com), and then automatically applies to the iPhone too, since it's the same account.

What to write in your out-of-office message

A good message is short and covers three things: that you're away, until when, and what someone who urgently needs help should do.

  • "Thanks for your email. I'm currently away and will be back on [date]. Your message will be read once I'm back."
  • If you have a colleague covering urgent matters, add: "For urgent matters, contact [name] at [email/phone]."
  • Avoid listing too many details about where you are or why you're away - this information isn't necessary and isn't ideal to have public from a security standpoint.

Frequently asked questions

Does the out-of-office reply send a message every time the same person writes, or just once? Depends on the system, but most modern servers only send the reply once per sender within a certain time window (say, once every 24 hours), to avoid repetition during longer back-and-forth exchanges.

What if I forget to turn off the out-of-office reply once I'm back? If you entered an end date when setting it up, the reply turns itself off - that's the main reason it's worth always using that option when it's available.

Does the out-of-office reply affect whether emails still arrive? No - the out-of-office reply just sends a message to the sender, but every email still arrives normally in your inbox and waits for you to read once you're back.

Can I have a different out-of-office reply for colleagues versus external clients? Yes, Outlook supports that directly (separate fields for "inside" and "outside" the organization). With a cPanel autoresponder, this option usually doesn't exist - the same message goes to everyone.

One rule worth remembering: always set an end date if that option exists - it's the only thing that guarantees you won't forget to turn it off.
